Create a connection to Xero Practice Manager (WorkflowMax)

HowNow Online can be connected to Xero Practice Manager (WorkflowMax) to pull in Client information.

Note: To complete this set up you will need your HowNow API key from Xero Practice Manager. The HowNow API key is the same used for connecting HowNow Server to Xero Practice Manager, should you already have this. If you need help in obtaining this please call our support team on 1300 333 424.

Important Note: There is currently a bug in Xero's API that is not flagging some updates to contacts as changes, due to this bug it is possible that some changes to client information may not sync to HowNow on an incremental sync.
While Xero are working on this issue, you can ensure that all data is updated by manually running a once-daily full sync from the connections page, more info on how to do this at the bottom of the page.

Login to the HowNow Online website - as an administrator for the firm.

Once logged in click on the "Welcome Back" drop down in the top right of the page, and select "Administration" as shown below. Then click on the Connections button.

Click on the green Xero Practice Manager (WFM) button.

Read the Instructions, and ensure you have your HowNow API Key, then click on the Install Now button.

Enter your HowNow API Key and then click Test Connection.

Your connection will start automatically if the test is successful. The Install Log will provide updates on the status of the Synchronisation.

Back on the Connections page the spanner icon will also take you to a view of the Install Logs.

Updates will automatically process every six hours.

Only click on the Refresh button when you wish to perform a manual update of the Client data.

There are two choices for manually Refreshing Client data.

1. Changes since last sync - this sync will run quickly and only update Client data that has been updated since the last refresh. This update is recommended if a manual sync is required as it does not put a load on the system.

2. Re-sync ALL client data - this sync may be required if some updated information is not able to be updated from the third party software - such as primary contact changes. This will re-sync all Client data so it may take some time - possibly up to 30 minutes, depending on the amount of Client being transferred for your Firm.

 NB: This refresh option should be used sparingly.
